Data Entry & Annotation for legal companies

Legal process outsourcing (LPO) is the practice of delegating defined legal and law-firm back-office tasks to a third-party provider, typically at lower cost or higher throughput than keeping those tasks in-house. It covers work that sits below attorney-level judgment but still requires domain knowledge: document review, contract management, legal research, paralegal support, litigation support, deposition summaries, medical record review, IP administration, transcription, and law firm accounting and receivables. The vendor handles the process; your attorneys handle judgment. The line between those two things must be explicit before any engagement starts.

Red flags for legal data entry & annotation

The vendor cannot explain their quality review process for document coding or contract abstraction beyond 'we have a QA team.' Ask what percentage of output is reviewed, by whom, using what scorecard, and what happens after a repeat error. Vague answers mean immature QA.
The vendor claims expertise in every legal practice area. LPO specialists exist for document review, IP, litigation support, and law firm finance. A vendor who says yes to all of it without naming specific process experience is a generalist back-office shop wearing legal branding.
No clear data security workflow for legal matter files. Acceptable answers include SOC 2 Type II certification, documented access controls, role-based permissions, audit logs, and a clear answer to: what happens to matter files when the engagement ends and how fast is access revoked when an agent leaves.
They avoid the UPL question or treat it as your problem. A serious LPO vendor understands where the line is between process support and legal advice, and should be able to articulate it without being prompted.
Pricing looks significantly below the benchmarks above with no clear explanation. Offshore paralegal work below $8 per hour or dedicated LPO FTEs below $1,200 per month may indicate unqualified staff, shared resources misrepresented as dedicated, or hidden volume minimums that inflate the real cost.
The vendor pushes a 12-month minimum contract before completing any pilot. For any engagement above $5,000 per month, a paid pilot period of 3 to 4 weeks is reasonable to request and any serious LPO vendor will agree to it.

GDPR compliance matters for any work involving EU data subjects. ISO 27001 is an additional positive signal for information security. Do not accept a self-certification or a 'we follow best practices' answer. Ask for the actual audit report or attestation.
